Job description

As the Business Support and Procurement Coordinator, you will act as the vital link between our Suppliers, Sales, Sales Administration, and Logistics teams. Your primary purpose is to ensure that goods are ordered, received, and prepared for dispatch in strict alignment with customer requirements. You will play a key role in maintaining optimal stock levels and executing essential supplier governance tasks.

The Procurement Department is a brand-new addition to our Operations function. This provides a rare opportunity for the right candidate to help shape the department's foundation and contribute directly to its long-term success. Reporting to the Procurement Manager, you will also collaborate closely with IT and other operational teams to launch and refine our procurement processes.

This position and would suit someone with excellent problem solving and data analytical skills, with a good understanding of procurement and fulfilment departments and experience with stake holder management.

2.2 Key Responsibilities

2.2.1 Order Management & Stock Optimisation

Utilising Sage 200 (MRP) and other planning tools, you will oversee the end-to-end procurement lifecycle to ensure timely product availability and seamless order fulfilment. This includes:

  • Raising Purchase Orders (POs) and creating Works Orders to meet production and customer demands.

  • Proactively forecasting stock requirements to maintain optimal levels and prevent shortages or overstock.

  • The allocation of Sales Orders to ensure "on-time, in-full" delivery to customers.

  • Maintaining and auditing high-quality data across various internal systems to ensure accuracy.

  • Collaborating with the Warehouse team to manage inbound schedules, ensuring stock levels remain within operational limits and avoiding storage bottlenecks or excessive stock holding

2.2.2 Supplier Management & Pricing Control

Working alongside the Sales and Procurement Managers, you will cultivate high-performing supplier relationships and maintain commercial accuracy to drive business value.

  • Collaborate with suppliers to secure favourable pricing and flexible delivery terms that support business agility.

  • Ensure all supplier documentation is accurate, up-to-date, and reviewed in strict alignment with the Procurement Policy.

  • Monitor and enforce adherence to the Company Code of Conduct, proactively identifying and resolving any non-conformances.

  • Conduct regular supplier evaluations backed by tangible, data-driven insights to ensure service levels are met.

  • Maintain precise pricing records within Sage 200 and ensure all cost updates are communicated promptly and effectively across the business.

  • Partner with the Sales team to strategy and implement pricing increases, ensuring a smooth transition for both the business and its customers.

Product Maintenance and Knowledge

  • As part of the Procurement team and in partnership with the Marketing and Sales teams you will serve as an internal subject matter expert on our product range, ensuring that our technical data is robust and that new product launches are executed flawlessly.

  • Maintain accurate and detailed stock records within Sage 200, including detailed descriptions, pricing, and Bills of Materials (BOM).

  • Partner with the Marketing and Sales teams to bring new White Label product offerings to market.

  • Develop a deep understanding of component parts, technical drawings, and fixings to provide expert guidance on product specifications.

  • Empower the Sales team by providing accurate pricing and feasibility assessments for bespoke "specials," non-standard sizes, and custom finishes.

3 - General Responsibilities & Continuous Improvement

  • Drive continuous improvement initiatives by tracking, analysing, and reporting on progress to ensure the company consistently meets its strategic objectives.

  • Utilise a suite of tools including Excel (Advanced), Access, Power BI, and native software reporting modules to product, insight-driven reports to support operational and strategic decision-making,

  • Demonstrate strong commercial awareness and embrace ad-hoc projects and delivering practical, timely solutions within a fast-paced environment.

Requirements

Do you have experience in Time management?, Strong analytical mindset with high attention to detail and data accuracy.

  • Medium to advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).

  • Proven experience working with ERP and Stock Management systems.

  • Exceptional organisational and time-management skills.

  • The ability to multitask and manage competing priorities effectively in a fast-paced environment.

  • Advanced problem-solving capabilities with a proactive, "can-do" approach.

  • Excellent written and verbal communication skills across all levels of the business.

5 - Desirable (Advantageous)

  • Direct experience with Sage 200 and CRM systems.

  • Proven experience coordinating complex projects involving multiple internal and external stakeholders.

  • Previous experience in a "launch" environment or helping build a new department.

  • Experience working in the furniture industry or with product components and BOMs.
